The connector leverages versions 21.1 and later of the VeevaVault API to enable bidirectional access to VeevaVault data.

Establish a Connection

Connect to Veeva Vault

In order to connect to your Veeva Vault account, you will first need to specify the URL connection property to the host you see in the address bar after logging in to your account, ex. https://myvault.veevavault.com.

OpenID Connect with Microsoft Entra ID

OpenID Connect with Microsoft Entra ID is a connection type that goes through OAuth. Set the AuthScheme to AzureADOpenID and the OpenIDConnectProfileID connection property to the ID of your Open ID Connect profile, which can be found by navigating to Admin > Settings > OAuth 2.0 / OpenID Connect Profiles and expanding the details of your OpenID Connect Profile.

Authenticate to Veeva Vault

There are two authentication methods available for connecting to your Veeva Vault data source, Basic and OAuth 2.0 / OpenID Connect with the Microsoft Entra ID Authentication Provider.

User Credentials

Set the AuthScheme to Basic and set the User and Password to your user login credentials.

OpenID with Microsoft Entra ID

OpenID Connect with Microsoft Entra ID is a connection type that goes through OAuth. Set the AuthScheme to AzureADOpenID. The following sections assume that you have done so.

Desktop Applications

Follow the steps below to authenticate with the credentials for a custom OAuth app. See Creating a Custom Microsoft Entra ID App. Get an OAuth Access Token

You are ready to connect after setting one of the below connection properties groups depending on the authentication type.

  1. Authenticating using a Client Secret
    • OAuthClientId: Set this to the Client ID in your app settings.
    • OAuthClientSecret: Set this to the Client Secret in your app settings.
    • CallbackURL: Set this to the Redirect URL in your app settings.
    • InitiateOAuth: Set this to GETANDREFRESH. You can use InitiateOAuth to avoid repeating the OAuth exchange and manually setting the OAuthAccessToken. .
    • Optionally, depending on the required claims to complete the authentication with the Veeva Vault data source, you may need to set additional scopes via the Scope property. For example, to get the user name and email claims from the UserInfo endpoint, you will need to set the scope value to: 'openid profile email offline_access'.
  2. Authenticating using a Certificate
    • OAuthClientId: Set this to the Client ID in your app settings.
    • OAuthJWTCert: Set this to the JWT Certificate store.
    • OAuthJWTCertType: Set this to the type of the certificate store specified by OAuthJWTCert.
    • CallbackURL: Set this to the Redirect URL in your app settings.
    • InitiateOAuth: Set this to GETANDREFRESH. You can use InitiateOAuth to avoid repeating the OAuth exchange and manually setting the OAuthAccessToken. .
    • Optionally, depending on the required claims to complete the authentication with the Veeva Vault data source, you may need to set additional scopes via the Scope property. For example, to get the user name and email claims from the UserInfo endpoint, you will need to set the scope value to: 'openid profile email offline_access'.

When you connect the connector opens the OAuth endpoint in your default browser. Log in and grant permissions to the application. The connector then completes the OAuth process:

  1. Extracts the access token from the callback URL and authenticates requests.
  2. Obtains a new access token when the old one expires.
  3. Saves OAuth values in OAuthSettingsLocation to be persisted across connections.

Create a Custom Microsoft Entra ID App

Create a Microsoft Entra ID Application

Veeva Vault supports user-based authentication using Microsoft Entra ID. This authentication is OAuth-based.

To connect to Veeva Vault via the Web, you must always create a custom application, as described here.

Custom OAuth applications are useful if you want to:

  • Control branding of the authentication dialog.
  • Control the redirect URI that the application redirects the user to after the user authenticates.
  • Customize the permissions that you are requesting from the user.
Authenticate With Microsoft Entra ID

In <https://portal.azure.com>:

  1. In the left-hand navigation pane, select Microsoft Entra ID > App registrations.

  2. Click New registration.

  3. Enter a name for the application.

  4. Specify the types of accounts this application should support:

    • For private use applications, select Accounts in this organization directory only.
    • For distributed applications, select one of the multi-tenant options.

Note

If you select Accounts in this organizational directory only (default), when you establish a connection with Veeva Vault connector you must set AzureTenant to the ID of the Microsoft Entra ID Tenant. Otherwise, the authentication attempt fails.

  1. Set the redirect URI to http://localhost:33333 (default) OR, if you want to

    specify a different port, specify the desired port and set CallbackURL to the exact reply URL you just defined.

  2. To register the new application, click Register. An application management screen displays. Record these values for later use. (You will use the Application (client) ID value to set the OAuthClientId parameters, and the Directory (tenant) ID value to set the AzureTenant parameter.)

  3. Navigate to Certificates & Secrets. Select New Client Secret for this application and specify the desired duration. After the client secret is saved, the Azure App Registration displays the key value. This value is displayed only once, so record it for future use. (You will use it to set the OAuthClientSecret.)

  4. If you have specified the use of permissions that require admin consent, you can grant them from the current tenant on the API Permissions page.

Update Your Custom Microsoft Entra ID App

When to use a Custom Microsoft Entra ID App

Prior to using the app that you have previously created to configure the Microsoft Entra ID Authentication Provider for your Veeva Vault data source, you would need to update it to include a redirect URL. This way, the connector can retrieve the verifier code from the opened browser tab and complete the flow. To do this and to obtain the OAuth values for your app, the OAuthClientId and OAuthClientSecret, you can follow the steps as below.

Steps to update your Custom Microsoft Entra ID App

Follow the steps below to add a redirect URL and to obtain the OAuth values for your app, the OAuthClientId and OAuthClientSecret.

  1. Log in to https://portal.azure.com.

  2. In the left-hand navigation pane, select Microsoft Entra ID, then App Registrations and click on the app you have previously created to configure the Azure

    AD Authentication Provider.

  3. From the Overview section, you can copy the Application (client) ID which corresponds to the OAuthClientId property.

  4. In the Certificates & Secrets section, you can optionally define a new app authentication type or use the already existing one. There are two types of authentication available: using a client secret and using a certificate. The recommended authentication method is via a certificate, but you can also create an application secret.

    • Option 1 - Upload a certificate: In the Certificates & Secrets section, select Upload certificate and select the certificate to upload from your local machine.
    • Option 2 - Create a new application secret: In the Certificates & Secrets section, select New Client Secret for the app and select its duration. After saving the client secret, the key value is displayed. Copy this value as it is displayed only once, and it is used as the OAuthClientSecret.
  5. In the Authentication section, under the Redirect URIs of the existing Web platform, you can add a new redirect URL to something such as http://localhost:33333, the connector's default. Or, set a different port of your choice and set CallbackURL to the exact reply URL you defined.

  6. Save your changes.

Important Notes

Configuration Files and Their Paths

  • All references to adding configuration files and their paths refer to files and locations on the Jitterbit agent where the connector is installed. These paths are to be adjusted as appropriate depending on the agent and the operating system. If multiple agents are used in an agent group, identical files will be required on each agent.

Advanced Features

This section details a selection of advanced features of the Veeva Vault connector.

User Defined Views

The connector allows you to define virtual tables, called user defined views, whose contents are decided by a pre-configured query. These views are useful when you cannot directly control queries being issued to the drivers. See User Defined Views for an overview of creating and configuring custom views.

SSL Configuration

Use SSL Configuration to adjust how connector handles TLS/SSL certificate negotiations. You can choose from various certificate formats; see the SSLServerCert property under "Connection String Options" for more information.

Proxy

To configure the connector using private agent proxy settings, select the Use Proxy Settings checkbox on the connection configuration screen.

Query Processing

The connector offloads as much of the SELECT statement processing as possible to Veeva Vault and then processes the rest of the query in memory (client-side).

User Defined Views

The Veeva Vault connector allows you to define a virtual table whose contents are decided by a pre-configured query. These are called User Defined Views, which are useful in situations where you cannot directly control the query being issued to the driver, e.g. when using the driver from Jitterbit. The User Defined Views can be used to define predicates that are always applied. If you specify additional predicates in the query to the view, they are combined with the query already defined as part of the view.

There are two ways to create user defined views:

  • Create a JSON-formatted configuration file defining the views you want.
  • DDL statements.

Define Views Using a Configuration File

User Defined Views are defined in a JSON-formatted configuration file called UserDefinedViews.json. The connector automatically detects the views specified in this file.

You can also have multiple view definitions and control them using the UserDefinedViews connection property. When you use this property, only the specified views are seen by the connector.

This User Defined View configuration file is formatted as follows:

  • Each root element defines the name of a view.
  • Each root element contains a child element, called query, which contains the custom SQL query for the view.

For example:

Use the UserDefinedViews connection property to specify the location of your JSON configuration file. For example:

Define Views Using DDL Statements

The connector is also capable of creating and altering the schema via DDL Statements such as CREATE LOCAL VIEW, ALTER LOCAL VIEW, and DROP LOCAL VIEW.

Create a View

To create a new view using DDL statements, provide the view name and query as follows:

CREATE LOCAL VIEW [MyViewName] AS SELECT * FROM Customers LIMIT 20;

If no JSON file exists, the above code creates one. The view is then created in the JSON configuration file and is now discoverable. The JSON file location is specified by the UserDefinedViews connection property.

Alter a View

To alter an existing view, provide the name of an existing view alongside the new query you would like to use instead:

ALTER LOCAL VIEW [MyViewName] AS SELECT * FROM Customers WHERE TimeModified > '3/1/2020';

The view is then updated in the JSON configuration file.

Drop a View

To drop an existing view, provide the name of an existing schema alongside the new query you would like to use instead.

DROP LOCAL VIEW [MyViewName]

This removes the view from the JSON configuration file. It can no longer be queried.

Schema for User Defined Views

User Defined Views are exposed in the UserViews schema by default. This is done to avoid the view's name clashing with an actual entity in the data model. You can change the name of the schema used for UserViews by setting the UserViewsSchemaName property.

Work with User Defined Views

For example, a SQL statement with a User Defined View called UserViews.RCustomers only lists customers in Raleigh:

SELECT * FROM Customers WHERE City = 'Raleigh';

An example of a query to the driver:

SELECT * FROM UserViews.RCustomers WHERE Status = 'Active';

Resulting in the effective query to the source:

SELECT * FROM Customers WHERE City = 'Raleigh' AND Status = 'Active';

That is a very simple example of a query to a User Defined View that is effectively a combination of the view query and the view definition. It is possible to compose these queries in much more complex patterns. All SQL operations are allowed in both queries and are combined when appropriate.

SSL Configuration

Customize the SSL Configuration

By default, the connector attempts to negotiate SSL/TLS by checking the server's certificate against the system's trusted certificate store.

To specify another certificate, see the SSLServerCert property for the available formats to do so.

Data Model

The Veeva Vault connector models Veeva Vault objects as relational views. A Veeva Vault object has relationships to other objects; in the views, these relationships are expressed through foreign keys. The following sections show the static endpoints of the Veeva Vault API.

However, the rest of the views are dynamically determined, using the metadata exposed on the Veeva Vault API. All vault objects will be exposed by the Veeva Vault connector. However, we only only list views in the help for types we can determine at design time all available columns. Examples of Veeva objects availabe with the Veeva Vault connector but not displayed in the help include:

  • Documents (Query the available documents, VQL is used when possible for this object.)
  • Users (Query the exisiting users, VQL is used when possible for this object.)
  • Groups (Query the exisiting groups, VQL is used when possible for this object.)
  • {Every Vault Object} (Query any vault object on its own view. VQL is always used to query Vault Object's views.)

About Veeva Vault Query

Veeva Vault Query (VQL) is a query language similar to SQL. It is available to use via the Veeva Vault API. When the query can be handled server-side, the provider transforms SQL to VQL and sends it to Veeva Vault. Optimizing in this way decreases the execution time, since the filtering will be done server-side.

Also, the provider supports QueryPassthrough, which means that you can write a VQL query and directly send it to Veeva Vault. This can be done by setting QueryPassthrough connection property to true.

Views

Views are similar to tables in the way that data is represented; however, views are read-only.

Queries can be executed against a view as if it were a normal table.

The connector will use the Veeva Vault API to process WHERE clause conditions built with the following columns and operators. The rest of the filter is executed client-side within the connector.

  • DocumentId supports the = operator.
  • ObjectName supports the = operator.
  • ObjectRecordId supports the = operator.
  • StartDate supports the = operator.
  • EndDate supports the = operator.

ViewLicense String Returns a value of View-Based User only when the user is assigned that license type. Otherwise, returns an empty string.
JobInstanceId String The ID of the Job Instance that preformed the action.
Version String The version of the affected Document.
DocumentUrl String The URL of the affected Document.
EventDescription String Description of the action that occurred.
Pseudo-Columns

Pseudo-column fields are used in the WHERE clause of SELECT statements and offer more granular control over the tuples that are returned from the data source.

Name Type Description
StartDate Datetime Specify a start date to retrieve audit history. This date cannot be more than 30 days ago. IIf not stated, defaults to the vault's creation date.
EndDate Datetime Specify an end date to retrieve audit history. This date cannot be more than 30 days ago. If not stated, defaults to today's date.

DocumentRelationships

Returns all relationships per each document.

View Specific Information

DocumentId, MajorVersion and MinorVersion must be specified in order to query this view. To find these values, you can execute the following query:

And version_id values are of this pattern: {DocumentId}_{MajorVersion}_{MinorVersion}

It is recommended to specify DocumentId, otherwise the provider will make a request per each document, causing the execution of the query to take some time.

Stored Procedures

Stored procedures are function-like interfaces that extend the functionality of the connector beyond simple SELECT operations with Veeva Vault.

Stored procedures accept a list of parameters, perform their intended function, and then return any relevant response data from Veeva Vault, along with an indication of whether the procedure succeeded or failed.

Veeva Vault Connector Stored Procedures

CreateDocument Create a single document.
CreateDocumentVersion Add a new draft version of an existing document. You can choose to either use the existing source file, or a new source file. CreateDocument

Create a single document.

To find the API names of the Documents table, get the Description column for the table Documents:

Typically it is not necessary to specify the Tenant. This can be automatically determined by Microsoft when using the OAuthGrantType set to CODE (default). However, it may fail in the case that the user belongs to multiple tenants. For instance, if an Admin of domain A invites a user of domain B to be a guest user. The user will now belong to both tenants. It is a good practice to specify the Tenant, although in general things should normally work without having to specify it.

The AzureTenant is required when setting OAuthGrantType to CLIENT. When using client credentials, there is no user context. The credentials are taken from the context of the app itself. While Microsoft still allows client credentials to be obtained without specifying which Tenant, it has a much lower probability of picking the specific tenant you want to work with. For this reason, we require AzureTenant to be explicitly stated for all client credentials connections to ensure you get credentials that are applicable for the domain you intend to connect to.

When InitiateOAuth is set to GETANDREFRESH or REFRESH, the connector saves OAuth values to avoid requiring the user to manually enter OAuth connection properties and to allow the credentials to be shared across connections or processes.

Instead of specifying a file path, you can use memory storage. Memory locations are specified by using a value starting with 'memory://' followed by a unique identifier for that set of credentials (for example, memory://user1). The identifier can be anything you choose but should be unique to the user. Unlike file-based storage, where credentials persist across connections, memory storage loads the credentials into static memory, and the credentials are shared between connections using the same identifier for the life of the process. To persist credentials outside the current process, you must manually store the credentials prior to closing the connection. This enables you to set them in the connection when the process is started again. You can retrieve OAuth property values with a query to the sys_connection_props system table. If there are multiple connections using the same credentials, the properties are read from the previously closed connection.

The default location is "%APPDATA%\VeevaVault Data Provider\OAuthSettings.txt" with %APPDATA% set to the user's configuration directory. The default values are

where DSN is the name of the current DSN used in the open connection.

Veeva Vault tables and columns can use special characters in names that are normally not allowed in standard databases. UseSimpleNames makes the connector easier to use with traditional database tools.

Setting UseSimpleNames to true will simplify the names of tables and columns returned. It will enforce a naming scheme such that only alphanumeric characters and the underscore are valid for the displayed table and column names. Any nonalphanumeric characters will be converted to an underscore.
